December 2023 Board Minutes

Spring Meadows Monthly HOA Monthly Board Meeting December 4, 2023. 

The regular meeting of the Spring Meadows Homeowners Association, Inc, Board of Directors was called to order by Mandy Caddick at 6:45 PM. 

Present were Board Members Mandy Caddick, Janice Zerbe, Jonathan

Also present were treasurer Amber Zillow, secretary Holly Neal.

REPORTS:

The minutes of the November meeting were presented in writing by Holly Neal. Minutes were approved by Amanda Caddick and second by Janice Zerbe. 

Agenda

UNFINISHED BUSINESS:

  • HOA Liability Coverage: work in progress with company
  • Landscaping:
    • Janice and Jonathan are working to obtain quotes for landscaping. 
  • Lawyer Update: Letter has been drafted regarding pond. WIll be sent to homeowners surrounding the pond. Discussion on whether all homeowners in the neighborhood should receive the same letter. 

New Business:

  • Website adjustments: Will begin posting minutes on the website so members of the HOA can stay uptodate 

The January board meeting has been scheduled for 1/9/2024. Meeting adjourned at 7:10 PM.

October 2023 Board Minutes

Spring Meadows Monthly HOA Monthly Board Meeting October 26, 2023

The regular meeting of the Spring Meadows Homeowners Association, Inc, Board of Directors was called to order by Mandy Caddick at 6:45 PM. 

Present were Board Members Mandy Caddick, Janice Zerbe, Jonathan Shadden.

Also present were treasurer Amber Zillow, secretary Holly Neal.

REPORTS:

The minutes of the September meeting were presented in writing by Holly Neal. Minutes were approved by Amanda Caddick and second by Janice Zerbe. 

Treasurer’s report was presented in writing by treasurer Amber Zillow showing a current budget of $29,027.73. The budget was approved as presented. 

Agenda

UNFINISHED BUSINESS:

  • Bank Update: Amber is now listed on the account. Cindy Brooks has been removed. 
  • HOA Liability Coverage: work in progress with company
  • Front entrance way:
    • Flagpoles Removed: Invoice $225.00 by Ozark Flag Distributors LLC for removal. 
  • Landscaping:
    • Ryan’s Landscaping service was discussed to do it during the winter time however it is being suggested that we have a complete overhaul of all greenways and pond areas that will be maintained by a landscaper. 
    • Three quotes will be obtained before a decision is made by the board. 
  • Checks were written for invoices of services received: Mike’s Mowing services, Noctua Ideas website, Ozark Flag Distributors flagpole removal.
  • Lawyer Update: Needing update from lawyer however he was unavailable before the meeting. Looking for another lawyer representative for the HOA. 
  • Homeowner List: Needs to be obtained from the courthouse. 

New Business:

  • Emails:
    • B.S-HOA representative for Whispering Meadows, requested to replace the bulbs for the entrance way, however he replaced them anyway and the bulbs have burst. This might have resulted in new lighting being installed. Will respond and say while we appreciate the offer, the board will work on the lighting. 
    • J.G.: Concerns regarding entryway lighting, flagpole removal, offers to sit on the board if needed, would like some way to update the neighborhood of board decisions. 
    • 2 emails regarding fencing seeking feedback
  • Concerns regarding neighborhood eyesores on Sandpiper

The November board meeting has been scheduled for 11/16/2023. Meeting adjourned at 7:43 PM.

September 2023 Board Minutes

Spring Meadows Monthly HOA Monthly Board Meeting September 26, 2023.

The regular meeting of the Spring Meadows Homeowners Association, Inc, Board of Directors was called to order by Amanda Caddick at 6:34 PM.

Present were Board Members Mandy Caddick, Janice Zerbe, Jonathan Shadden.

Also present were board secretary Holly Neal.

REPORTS:

The minutes of the August meeting were presented in writing, and APPROVED with a correction as presented. 

Agenda

UNFINISHED BUSINESS:

  • Correction to the August minutes that incorrectly stated who will be added to the bank account. It should read as follows:
    • Cindy Brooks removed from the HOA bank account at First Community Bank. Need to add treasurer Amber Zittlow.
  • HOA Liability Coverage: Mandy is going to call to get this taken care of. 
  • Front entrance way: Flag poles removed. Should be receiving invoices
    • Discussion on removing plants and adding concrete
  • Map of Subdivision: Someone will have to go in person to get this from the county

New Business:

  • Invoices:
    • Received invoices from Mike’s Mowing and Noctua Ideas (Website), can not pay these until bank account changes are made.

August 2023 Board Minutes

Spring Meadows Monthly HOA Monthly Board Meeting August 21, 2023.

The regular meeting of the Spring Meadows Homeowners Association, Inc, Board of Directors was called to order by Amanda Caddick at 6:34 PM.

Present were Board Members Mandy Caddick, Janice Zerbe, Jonathan Shadden

Also present were treasurer Cindy Brooks, Amber Zittlow and Holly Neal

REPORTS:

The minutes of the July 20th  Annual Meeting was presented in writing, and APPROVED as presented.

UNFINISHED BUSINESS:

  • Airbnbs: received email from a homeowner regarding an airbnb in the neighborhood. This is against board policy and a complaint will be made with Planning and Zoning. 
  • Map of Neighborhood
  • Invoices

New Business:

  • HOA’s General Liability coverage
  • Front Entrance Way
    • In the Spring get quotes on landscaping for the entryway. 
  • Inquiry about a pathway to the pond. 
  • Need to have Cindy Brooks removed from the HOA bank account at First Community Bank. Need to add treasurer Amber Zittlow, also add board member Jonathan Shadden.

May 2023 Newsletter

May 2023

Dear Spring Meadows Homeowners Association Members,

I hope this letter finds you in good health and spirits. I am writing to inform you of our upcoming annual meeting, which will be held on June 24, 2023, at 1 PM at the Branson Lions Club. This meeting is an important opportunity for us to come together as a community and discuss the current state of our neighborhood, as well as make plans for the future.

During the meeting, the board of directors will be looking to fill several key positions. Specifically, we are in need of a new secretary, treasurer, and an additional board member. The secretary plays a vital role in keeping our organization running smoothly, and the board members are instrumental in helping to guide the direction of our neighborhood. It is important to note that according to the convents of the Spring Meadow HOA, if no one comes forward to fill these positions, the HOA will be forced to dissolve. Nominations can be made and appointed during our annual meeting on June 24th. We will also be voting on important neighborhood decisions so mark your calendars now. 

In addition to the election of new officers, we will also be discussing several other important topics during the meeting. These will include updates on community projects, financial reports, and plans for the future. We encourage all members to attend, as your participation and input are crucial to the success of our community.

I am pleased to inform you that the HOA has recently used funds to add signage around the pond to prevent accidents from occurring. Additionally, we are working on enhancing the landscaping areas by having overgrown brush and displaced trees removed. We believe that by maintaining and beautifying the common areas in our neighborhood, we can create a more attractive and cohesive community that everyone can be proud of.  

A new website has been developed to help make it easier to communicate with board members as well as a way to allow members to pay their dues digitally. Dues will once again be $190 and are due by July 31st. You can mail dues to Spring Meadows HOA, P.O. Box 7223 Branson, MO 65615 or pay digitally on the website www.springmeadows-hoa.com. Any dues paid after this deadline will be charged a 10% late fee, $19, for a total of $209.

Please mark your calendars and plan to join us on June 24th. We look forward to seeing you there!

MAY 2022 SPRING MEADOWS HOMEOWNER ASSOCIATION NEWSLETTER

Greetings!
As we have many new neighbors moving into the neighborhood, we are adding a website to make things
easier. This website will feature many things including paying dues online, a copy of the documents with
rules and regulations for the subdivision, an area to ask questions and/or suggest changes. As soon as
this is up and going, we will let everyone know.
Our annual dues will remain the same for the 16th year at $190 for the year. The annual dues are due
on or before July 31, 2022. If you pay after July 315t, there will be a late fee. Please mail a check or
money order to the follow address:

The dues pay for weekly trash pickup, general cleanup and maintenance of common areas, including the
entrance. Enclosed you will find a copy of our yearly budget that has been prepared and reviewed by
your board of directors. This will detail where the funds are being spent for the association. We work
diligently to watch all expenses to maintain low dues.
Due to not having enough members currently sitting on the board, we cannot conduct business.
Therefore, we will not be holding an annua! meeting this year. While we all want a great neighborhood
to live in, it takes active members to do their part or we can’t force others to follow rules or make
business decisions.
If you are looking to make a difference in our community and would like to volunteer to be on the
board, please let us know. This is not a paid position, but you get to be the voice for the community! If
interested, please reach out to Heather at (417) 230-1384.
As a reminder, our streets belong to the county, and may not be used as an extension of your front yard
or driveway. No motor homes or boats can be parked in the street, driveways or yards. Please
remember when walking your pets, to remember to pick up after them. The pond is also not an
extension to your back yard. Boats and other floating devices cannot be used on or left on the pond.
As more families start to move into the neighborhood, please be mindful of children out playing. More
families are out walking and we want to make sure that our streets are safe for everyone.
